These Terms govern access to Scoutzy, a free hosted organisation-management tool operated by Karel Ježek as a private individual. The current operator and contact point are stated in the Legal Notice.
By creating an account or using Scoutzy, including answering a public form, you accept these Terms. If you do not accept them, do not create an account or use the service.
Account registration requires an affirmative checkbox accepting the current Terms; Scoutzy records the accepted version and time. Public form respondents can answer without an account or registration checkbox. The Privacy Policy explains processing of personal data; it is acknowledged at registration but is not a request for consent where another legal basis applies.
Accounts are for authorised organisation staff aged 15 or older. This account age rule does not apply to people answering a public form without an account. If you are 15–17 and create an account, you confirm that your organisation authorises your use and that you have any parent or guardian authorisation required for your agreement to these Terms. You must provide accurate, current account information. Creating an organisation or accepting its Data Processing Agreement requires authority to act for that organisation.
Keep your credentials confidential, use a unique password, and promptly report suspected unauthorised access or a security issue to [email protected]. You are responsible for activity carried out through your account unless applicable law provides otherwise.
When you create a project, you become its owner in Scoutzy and are responsible for selecting its modules, inviting users or sharing it with an authorised Team, assigning the least access needed, reviewing permissions, and managing project content.
Project roles are Owner, Admin, Editor, and Viewer, limited further by module access. A project uses either direct membership or one Team roster. Team Owners and Admins may administer project access as described in the service; members must use only the access granted to them and must not share data outside the controller organisation’s authorised purposes.
For personal data an organisation enters into or collects through a Scoutzy project—including minors’ attendee records and public form answers—the organisation remains the controller whether access is direct or managed through a Team. It must determine and document its lawful basis, give required privacy information, handle data-subject requests, obtain consent only where consent is the appropriate basis, and ensure that project and Team users are authorised. A public form must give the organisation’s contact, purpose, and retention notice. Scoutzy processes that data only on the organisation’s documented instructions.
Do not place health, disability, dietary, religious, criminal-offence, or other special-category data in free-text notes. An organisation may enter such data only when it is strictly necessary, has a valid Article 9 GDPR condition where applicable, limits access, and can demonstrate its decision.
The controller–processor relationship is governed by the Data Processing Agreement.
You retain your rights in content you enter. You grant Scoutzy the limited permission necessary to host, display according to the form audience or project permissions you choose, back up, secure, troubleshoot, and otherwise operate the service.
You are responsible for the lawfulness, accuracy, and appropriate sharing of content you enter, including personal data. Scoutzy does not publish organisation content publicly by default. If an organisation publishes a public form, anyone with its link can see the form and notice; only authorised project Admins and the Owner can see its responses.
You agree not to use Scoutzy for any unlawful purpose or in any way that could damage, disable, or impair the service. Prohibited activities include, but are not limited to:
Scoutzy is currently free and provided on an availability basis. We do not guarantee uninterrupted availability, a particular recovery time, or disaster recovery. Keep an appropriate independent copy of records that your organisation must retain. We may change, suspend, or discontinue the service with reasonable notice where practicable.
We may suspend or end access where reasonably necessary for security, misuse prevention, legal compliance, or a material breach of these Terms. We will give notice where practicable. You may delete your account through Account Settings, subject to the safeguards for organisation-owned records described in the Privacy Policy.
Scoutzy is provided without a promise that it will be uninterrupted, error-free, or suitable for a particular purpose. To the extent permitted by law, the operator is not liable for indirect or consequential loss arising from use of the free service. Nothing in these Terms excludes liability that cannot lawfully be excluded or limits mandatory rights.
We may update these Terms to reflect legal, security, or service changes. Material changes will be posted here with a new effective date and, where reasonably practicable, communicated in the service. We may require affirmative acceptance of a new version before further use.
These Terms are governed by Czech law, subject to directly applicable EU law. Courts with jurisdiction under applicable law decide disputes.
